Event sponsorship proposal template

Copy the proposal below, replace every bracketed placeholder such as [EVENT NAME] and [AUDIENCE SIZE] with your own details, and send it with the outreach email. It has four parts: the proposal, the sponsorship package tiers, the outreach and follow-up emails, and a recap to send after the event.

Before you fill it in

  • The basics: date, venue, city, and capacity.
  • Who buys tickets: age range, neighborhoods, and why they come. Use only numbers you can show a brand. If the event is new, give the capacity and say it is the first one.
  • A short list of brands whose customers are your guests. A specific fit beats a famous name.
  • What you can actually deliver: logo placements, a booth, tickets, a mention from the stage, photos, a lead list.

Outreach email

Send it to a named person, with the proposal attached. One brand per email.

Follow-up email

If there is no reply, follow up once, in the same thread, before your deadline.

After the event: the recap

Send it while the night is fresh. A sponsor who can show their team what they got is the one who comes back.

Questions, answered

What should an event sponsorship proposal include?
The event in a paragraph, who the audience is, why the brand fits, the packages with prices, what the sponsor gets after the event, and a deadline to reply. Keep it to a page or two and put the ask on the first page.
How much should I charge sponsors?
There is no standard rate, which is why the tiers above leave the price blank. Price each tier against what you can deliver and prove — guests, placement, and what the sponsor gets afterwards — not against what you need to raise.
When should I send a sponsorship proposal?
As early as you can. A brand needs time to approve budget and send you a logo before your promotion starts, so put both deadlines in the proposal.
Can I use this template for vendors?
Yes. The vendor booth tier covers a space to sell on site; send the same proposal with that tier first.
